Personal Tax Advisory Consultation – Booking Terms (Revision 3)

CJC Accountancy Ltd · Registered in England and Wales, company no. 11819511 · Registered office: 124 City Road, London, EC1V 2NX · info@cjcaccountancy.co.uk · 01277 295725

1. About these terms

1.1 These terms apply when you book a Personal Tax Advisory Consultation (the "Consultation") through our online booking page.

1.2 Further work is agreed separately under an engagement letter.

1.3 If you are a consumer, nothing in these terms affects your legal rights.

2. What the Consultation includes

2.1 The Consultation has two parts. Both are included in the fee:

  • (a) a 30-minute video call with Chris Clark, normally by Zoom, or by Microsoft Teams if we agree this with you; and

  • (b) a concise written follow-up summary, sent by email.

2.2 Written summary. We will email your written summary within three working days after the video consultation. Working days are Monday to Friday, excluding public holidays in England and Wales. Where practicable, we'll aim to send it sooner.

  • The summary records the principal matters discussed and any recommended or agreed next steps.

  • It is not a formal written tax opinion.

  • If exceptional circumstances outside our reasonable control (such as serious illness) prevent us from meeting this deadline, we'll tell you as soon as we can, and send the summary as soon as reasonably possible.

2.3 The fee does not include:

  • extensive computations;

  • comprehensive document reviews;

  • formal written opinions;

  • preparing or filing returns;

  • dealing with HMRC;

  • ongoing tax services;

  • regulated pension or investment advice.

We'll quote separately if you need any of these.

2.4 Our guidance is based on the information you give us, and is for your use only.

3. Fee and payment

The fee is £150, including VAT where applicable, payable when you book through our secure payment provider (Stripe).

4. When the contract is made

Our contract with you is made when you complete your booking and payment, and our booking system confirms your appointment on screen. We will also email you a booking confirmation, which contains these terms' key information and the cancellation information.

5. Your legal right to cancel (consumers)

5.1 If you are a consumer, you can cancel the contract without giving a reason. The cancellation period ends at the end of the 14th day after the day the contract is made. (For example, if you book on 9 November, you can cancel until the end of 23 November.)

5.2 How to cancel. Email info@cjcaccountancy.co.uk or write to us. You can use the model form in section 11, but you don't have to.

  • Cancelling by email is always available, whether or not the online booking link still lets you make changes.

  • The online link is a convenience for rescheduling. It does not limit your legal right to cancel.

5.3 We will refund what you are owed within 14 days of being told you are cancelling, using your original payment method, at no cost to you.

6. If your appointment is within the 14-day period

6.1 We can only provide the Consultation within your cancellation period if you ask us to. If your appointment falls within that period, you make that request when you book.

6.2 Cancelling before the video call starts: full refund.

6.3 Cancelling after the video call but before we send your summary: you will have to pay an amount in proportion to the service we have provided up to the time you tell us you are cancelling. We will refund the balance.

  • The amount depends on the service actually provided, assessed against the total fee.

  • It is not a fixed sum or percentage.

6.4 Once the video call has taken place and we have sent your written summary, the service is fully performed. If you asked us to provide it within the cancellation period, and acknowledged that you would then lose the right to cancel, you can no longer cancel.

6.5 The service is not complete when the call ends. It is complete only when both the call and the written summary have been provided.

7. If your appointment is more than 14 days after booking

7.1 No early-start request is needed.

7.2 You can cancel for a full refund at any time during the 14-day period.

7.3 After that period ends, section 8 applies.

8. Changing your appointment (our policy)

8.1 Rescheduling. You can move your appointment free of charge:

  • using the link in your confirmation email (available online until 12 hours before the appointment); or

  • by emailing us at any time before the appointment.

We'll offer the nearest suitable times.

8.2 Cancelling after the 14-day period but before the call. We'll first offer to rearrange. If you'd still prefer to cancel, we'll refund the fee in full. We don't charge a fixed cancellation fee, and we don't automatically keep the fee.

8.3 Missed or late appointments.

  • Emergencies: if a genuine emergency prevents you from attending, please tell us as soon as you can. We'll rearrange free of charge.

  • Late arrival: if you join late, we'll use the remaining time. If you're more than 10 minutes late and haven't contacted us, we'll treat the appointment as missed.

  • Missed appointment: if you don't attend and haven't contacted us, we'll get in touch and offer one rearranged appointment within 30 days at no extra charge.

  • Repeated non-attendance: if you also miss the rearranged appointment without contacting us, we may decline further bookings. We'll then deal with the fee fairly, in line with your legal rights and these terms.

9. Changes by us, and technical problems

9.1 If we need to cancel or move your appointment, you can choose a new time or a full refund.

9.2 Problems on our side. If a problem on our side prevents or seriously disrupts the call, you can choose to continue by another platform or telephone, rearrange, or receive a full refund.

9.3 Time-limited platform. If the video platform ends the meeting early, we'll immediately send a new link or call you so the Consultation can finish. The full 30 minutes will be provided.

9.4 Problems on your side. If a problem on your side prevents the call, we'll try an alternative. If that isn't possible, we'll offer one rearranged appointment.

10. Quality, privacy and other terms

10.1 We'll provide the Consultation with reasonable care and skill. If we don't, you can ask us to put it right. If that isn't possible, you can ask for an appropriate price reduction, which may be a full refund. Your other legal remedies are not affected.

10.2 We don't record Consultations or use automated transcription or AI summaries. Please don't record without our agreement.

10.3 Privacy: see our Privacy Policy (www.cjcaccountancy.co.uk/privacy-policy).

10.4 Complaints: contact Chris Clark at info@cjcaccountancy.co.uk. You can also contact the Association of Accounting Technicians (AAT).

10.5 These terms are governed by English law. If you live elsewhere in the UK, you can bring proceedings in your local courts.

10.6 If you book for business purposes, sections 5–7 don't apply. Sections 8 and 9 do.
